Using Scored Questionnaires with SpreadsheetWeb Hub

Convert an Excel questionnaire into a scored web workflow with vendor access, conditional questions, reviewer decisions, revisions, and rankings.

Move an Excel-based questionnaire into a browser and manage distribution, scoring, review, and revision without emailing workbook copies back and forth. The workflow in this lesson is designed for vendor security assessments, but it also applies to audits, evaluations, intake forms, and other scored submissions.

Prepare access and workflow tags

Create tags that represent the participant roles and record states required by the process. A typical questionnaire workflow includes statuses such as Waiting Review, More Information Needed, and Accepted.

Create identity templates for vendors and reviewers. Vendors should be able to open the questionnaire and work with their own permitted records. Reviewers need access to the submitted records and the controls used to approve, decline, or request clarification.

Apply the vendor template when inviting participants to the workspace. A recipient without an existing Hub account must register, confirm the account, and accept the workspace invitation before opening the application.

Present the questionnaire to vendors

Use control visibility rules to hide reviewer-only fields and actions. Questions can also be shown or hidden according to earlier answers, allowing the form to adapt to the vendor's responses.

When the vendor selects Submit Answers, save the questionnaire and assign the Waiting Review tag. The submitted state prevents the vendor from continuing to edit the record until a reviewer requests more information.

Review and request clarification

Reviewers open submitted questionnaires from the application's Data page. The application loads the vendor's answers and displays the reviewer controls.

For each response, a reviewer can record a status or request additional details. If clarification is required, the reviewer selects the request-information action. The record receives the More Information Needed tag and becomes editable by the vendor again.

When the vendor reopens the record, explanation fields can appear only for the questions that require more information. Resubmitting the questionnaire returns it to Waiting Review.

Approve and analyze submissions

Selecting the approval action assigns the Accepted tag and completes the workflow. The vendor can retain the access defined by the workspace rules, but the accepted questionnaire no longer needs to remain editable.

Use a reviewer-specific Data page layout to display fields such as total score. Sort the score column to rank vendors or compare submissions, while vendor permissions keep each participant limited to the records they are allowed to see.
